Job Title: Technical Admin Assistant
Job Summary: We are seeking a highly organized and detail-oriented Technical Admin Assistant
to support our Project Management Team and other teams within the organization. The ideal
candidate will be responsible for generating and checking weekly and monthly reports, ensuring
compliance with reporting standards, monitoring document lifecycles, and assisting with
various administrative tasks to ensure smooth operations.
Key Responsibilities:
1. Report Generation:
o Generate weekly and monthly reports for the Project Management Team and
other teams.
o Ensure all reports are accurate and submitted on time.
2. Report Verification:
o Check the reports submitted by the Project Management Team and other teams
for accuracy and completeness.
o Identify any discrepancies or missing information and address them promptly.
3. Compliance Monitoring:
o Ensure that all reports adhere to the organization’s reporting standards and
guidelines.
o Report to the Team Head if reports are not created or if there are
inconsistencies.
4. Data Management:
o Maintain and update databases and records related to team reports and project
documentation.
o Ensure data integrity and confidentiality.
5. Communication:
o Liaise with team members to gather necessary information for reports.
o Communicate effectively with team members to address any reporting issues.
6. Administrative Support:
o Assist with scheduling meetings, preparing agendas, and taking minutes.
o Handle correspondence and manage documentation related to team activities.
7. Document Management:
o Identify and document (Confluence) documents required by projects for
invoicing, such as RFPs, Impact Assessments, and Contract Addendums.
o Monitor if documents are issued and signed by Nextbank and clients.
o Follow up with Nextbank and Bank counterparts to ensure documents are
signed.
o Track document lifecycle delays and report them weekly.
o Coordinate the signing and sending of hard copies, if needed.
8. Project Reporting:
o Update general project reports on a weekly basis.
o Check CR monitoring spreadsheets, double-check the status of tickets, and
confirm with PMs if tickets are completed and should be billed to the client.
o Weekly check if the profitability template is kept up to date and follow up with
PMs.
9. General Administrative Duties:
o Perform other administrative tasks as assigned by the Team Head or other senior
staff.
o Support special projects and initiatives as needed.
Qualifications:
Proven experience as an administrative assistant or similar role.
Excellent organizational and multitasking skills.
Strong attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Strong communication and interpersonal skills.
Familiarity with project management processes and tools is a plus
